Seniors Health Fair - Vendor application

About this opportunity:

The City of Waterloo and KW4 Ontario Health Team are hosting a Seniors Health Fair. The goal of the Seniors Health Fair is to provide opportunity to both seniors and caregivers to learn more about community programs, social service and health agencies in the Waterloo community that help older adults remain healthy, active and connected. There is no cost to vendors or attendees to attend or participate in the fair.

Key information:

  • Deadline to apply: End of day Friday, July 31
  • Event time: Thursday, November 5 from 2 to 6 p.m.
  • Location: Community Pavilion at 101 Father David Bauer Drive, Waterloo
  • Supplies provided to vendors: 6 foot table with a black tablecloth and a chair (please let us know if you need an additional chair)

Vendor responsibilities:

  • arrive at the Community Pavilion no later than 1:30 p.m. with your booth set up and ready for attendees by 2 p.m.
  • provide handouts or written materials for attendees to take home (bags are provided by the city to attendees)
  • engage with and provide service information to seniors, caregivers, presenters and other vendors who approach your booth throughout the evening
  • keep promotional, supplies or materials at your assigned table – the relocating of provided tables is not permitted for health and safety reasons
  • keep your booth open until after 6 p.m.
  • using your vendor or organization social media accounts, promote and share any City of Waterloo posts regarding the fair

Conditions of the application process are:

  • submitting an application does not guarantee acceptance
  • successful applicants will be notified by email by the end of the day on Friday, August 7
  • vendors must be prepared to confirm attendance by email within three business days to guarantee their spot
  • space for private and for-profit vendors is limited but all applications are welcome
  • due to limited spacing, health and safety guidelines and funding requirements, not all applicants will be accepted
  • decisions are based on ensuring a variety of vendor and organization types
  • applications submitted after the deadline of July 31 will be considered only if space is available
